| Situation | Question to ask |
|---|---|
| Microsoft 365 team | Which Copilot features and permissions are available? |
| Google Workspace team | Which Gemini access has the administrator approved? |
| Cross-system work | Does ChatGPT or Claude fit the task with your approved account? |
| Final decision | Which output remains correct after human review? |
Which tool should you try first?
An already approved tool is often the simplest starting point. Check the licence and actual features before planning exercises. A product name alone does not describe what a particular account can access.
For a team using Microsoft 365 or Google Workspace, first consider that environment. For work across systems, a general-purpose assistant may be another option. These are scoping suggestions, not performance rankings.
How can you run a useful comparison?
Use an invented or approved document and request the same output: a summary, table or first draft. Define the required elements and unacceptable errors in advance.
Assess accuracy, traceability, instruction following and human correction time. Convincing text is not necessarily correct. Record the date and test conditions because products change.
What should you check about data?
Review contract terms, account settings, document access and internal rules. A feature in a consumer product may have different terms in a business offering.
Exclusion from model training does not remove the need to control access, retention and the documents shared. A workshop should use tools approved for the selected tasks.
